Our top pick

Housecall Pro

For a small residential shop, the flat rate book built into Housecall Pro (powered by Profit Rhino) is the cheapest way to start quoting fixed prices without buying a separate tool.

The contenders

What a flat rate pricebook actually does

A pricebook is the menu your techs sell from. Each line is a task, such as "replace capacitor" or "rebuild toilet fill valve", with a fixed price that already covers the part, the expected labor time, your overhead per hour and your margin. Good pricebook software keeps those prices current as supplier costs move, shows photos and good, better and best options on a tablet, and pushes the approved task straight onto the invoice.

The real choice for most HVAC and plumbing shops is not "which pricebook" in isolation. It is whether you use the book built into your field service software, or buy a standalone book and connect it.

Housecall Pro: best for small residential shops

Housecall Pro includes a flat rate price book "powered by Profit Rhino" for HVAC, plumbing and electrical. It comes with pre-built task names, descriptions, images and prices based on industry averages, and you adjust labor rates and margin to your shop. Housecall Pro's feature page does not list a separate price for it, so confirm on the Housecall Pro pricing page which plan includes it before you buy. See our Housecall Pro review for the rest of the platform.

ServiceTitan Pricebook Pro: best for larger HVAC companies

ServiceTitan sells Pricebook Pro as a premium add-on for its own customers, with prices updated monthly from supplier cost data. It makes sense when you already run ServiceTitan and have enough techs that keeping thousands of prices current by hand is a real cost. ServiceTitan does not publish the add-on price; see ServiceTitan pricing for what the core platform costs.

FieldEdge: flat rate built in

FieldEdge offers flat rate pricing inside the platform, using the Profit Rhino pricing engine, and lists price presentation among its core features. FieldEdge does not publish its own pricing, so expect a sales quote. Our FieldEdge review covers what third-party breakdowns say it costs.

Profit Rhino on its own

Profit Rhino is the most common standalone flat rate book for HVAC, plumbing and electrical. Capterra lists three tiers at $39, $49 and $59 per user per month, and integrations with ServiceTitan, FieldEdge, Service Fusion and Simpro, plus the Housecall Pro version above. Choose it standalone when your field service software has no built-in book but can import one.

The New Flat Rate

The New Flat Rate is a menu pricing system rather than a parts database: it builds good, better and best menus for your company and trains techs to present them. Industry sources quote it at around $99 per tech per month. It suits shops whose problem is selling on site more than calculating prices.

What about Jobber?

Jobber lets you build your own products and services list with prices, which works fine if you already know your numbers. It does not include a pre-built industry flat rate library, so you would be pricing every task yourself. See Jobber pricing and our best HVAC software guide for how it compares overall.

How to choose

  • Already on Housecall Pro, FieldEdge or ServiceTitan: start with the book your platform includes or sells.
  • On software with no built-in book: a standalone Profit Rhino subscription is the usual answer.
  • Prices are fine but techs struggle to sell: look at The New Flat Rate.
  • One or two trucks and you know your costs: a simple price list in Jobber or Housecall Pro is enough to begin.

FAQs

What is flat rate pricebook software?
It is a library of standard repair and install tasks, each with a fixed customer price that already includes parts, labor time, overhead and your target margin. Techs pick the task on a tablet and the customer sees one number instead of hourly billing.
How much does a flat rate pricebook cost?
Standalone books such as Profit Rhino list from about $39 to $59 per user per month on Capterra, and The New Flat Rate is quoted at around $99 per tech per month. Books built into field service software are bundled with that platform's plan or sold as an add-on, so check the vendor's current pricing page.
Do I need a separate pricebook if I use Jobber?
Jobber has a products and services list you can price yourself, but it does not ship a pre-built industry flat rate library like Profit Rhino. If you want ready-made HVAC or plumbing task prices, a platform with a built-in or integrated book is the faster route.
Is flat rate pricing better than time and materials for HVAC?
For residential service and repair, flat rate usually wins: customers approve faster, techs stop negotiating on site, and margins stay consistent. Time and materials still makes sense for large commercial or unpredictable jobs.
